FAQs
Frequently asked questions
Unsure about how we work? We have gathered the most common questions for your convenience.
General IT, privacy or staff conduct policies often do not deal with the specific issues created by AI tools. For example, they may not address who can approve AI use, what kinds of inputs are off-limits, when human review is required, how outputs should be checked, or what disclosures may be needed when AI is used in customer-facing work. An AI governance policy gives your team a clearer internal framework. It is particularly useful if staff use generative AI, automated decision tools, third-party AI platforms or AI-assisted marketing and support workflows.
The content depends on how your business uses AI, but it commonly addresses approved and prohibited uses, internal approval pathways, staff responsibilities, review and escalation steps, handling of personal or confidential information, record-keeping expectations, and rules around customer-facing outputs or marketing use. It may also deal with vendor tools, testing, monitoring and accountability for errors. The right drafting depends on your actual data flows, including what you collect, why you use it and who receives it, so the policy needs to match your real workflows rather than describe an idealised process that your team does not actually follow.
We usually need a practical picture of how AI is currently used or planned to be used in the business. That can include which tools your team uses, what kinds of data are entered into those tools, whether outputs are reviewed by humans, which teams rely on AI, whether customer communications are affected, and whether third-party providers are involved. We do not need a technical architecture document, but we do need enough operational detail to draft a policy that reflects reality. That is important because the drafting The legal drafting should follow your actual information-handling process, rather than relying on generic privacy wording..
Generic templates can leave gaps where the commercial model, customer journey or risk profile is more specific than the precedent assumes. However, it often stays too high level to be useful in practice. Many templates do not reflect your actual data flows, approval structure, customer touchpoints or risk profile. They may also miss direct marketing issues, confidentiality concerns, or the difference between internal productivity use and customer-facing AI use. A policy that is too generic can create a false sense of coverage while leaving staff unsure about what is allowed. Tailored drafting is usually more useful because it connects the policy wording to the way your business really operates.
Timing depends on how quickly we receive your instructions and how complex your AI use is. Once we have the key information, we draft the policy and provide it for your review, then work through any agreed updates within the included scope. If your business later needs related documents, such as customer-facing disclosures, supplier terms or broader privacy support, that can be scoped separately. This service is for the policy drafting work itself. It does not include technical rollout, staff training delivery, security fixes or ongoing compliance management after the document is completed.
