This is commonly useful for businesses that handle personal information across multiple systems, teams or service providers and want a clearer internal record of what is happening. That can include software businesses, online retailers, healthcare-related services, agencies and growing companies with more than one customer or staff data flow. It is especially helpful where privacy obligations are becoming more visible in procurement, client due diligence or internal governance. The more moving parts your data handling has, the more valuable a usable record tends to be.
They document how your business handles personal information in practice. That can include what categories of information you collect, why you collect it, where it comes from, who can access it, which service providers receive it, how long it is kept, and what business functions it supports. In many businesses, those details sit across forms, software tools, onboarding steps and internal habits rather than one central source. The records bring that information together in a structured way so your privacy position is easier to explain and maintain.
A template can help with headings, but it usually cannot tell you what your business is actually doing with information. The right drafting and advice depend on how your business collects, uses and shares information in practice. For example, a SaaS company, clinic and marketing agency may all hold personal information, but their data flows, vendor arrangements and risk points are very different. A tailored record is more useful because it reflects your actual systems and workflows, rather than forcing your operations into generic wording that may not fit.
Yes. In privacy work, the legal position often depends on what the business actually does, not just what the document says. If staff collect extra information, use a tool differently from the stated process, or share data in ways that are not captured in the record, the document can quickly become inaccurate. That is why this service looks at practical data handling as well as the written output. The records should reflect reality closely enough to be useful, and they need updating when your practices change.
Once the records are delivered, the next step is usually to check whether any internal processes, notices or responsibilities should be tightened so the records stay accurate over time. Many businesses also nominate an internal owner for updates when a new product, vendor, workflow or marketing channel is introduced. The template included with this service helps with future maintenance, but keeping the records current remains your responsibility. If later changes are substantial, you may want a further legal review to keep the documentation aligned with practice.

We operate completely online, which means we can help you wherever you are in New Zealand. We have office spaces in Sydney, and in Melbourne, but our use of technology allows our team members to work remotely from around the world. Our legal team are mostly based in Sydney, Melbourne, Brisbane and Perth. We also have a London office for Sprintlaw UK.
Our legal team is made up of experienced lawyers, who are specialists in various areas of law and hold an Australian legal practising certificate. None of our Sprintlaw lawyers are New Zealand qualified lawyers and they do not currently hold a New Zealand practising certificate.
They provide legal services working remotely from Australia via our 'legal consultancy' model, through which (under section 6 and section 35 of the New Zealand Lawyers and Conveyancers Act 2006) our Australian legal team are permitted to provide legal services to New Zealand businesses provided they do not provide services in certain 'reserved' areas of law. You can read our FAQ page to learn a bit more about our 'legal consultancy' model.
Given the strong similarities between Australian and New Zealand law, and the areas of law in which we practice (being small business and startup law), we do not view the fact that our lawyers have not qualified in New Zealand as having any substantive impact on the quality of our service. We are committed to ensuring that we provide high quality, affordable legal services to all our New Zealand clients.
Our legal team have all trained at leading firms, but have left the traditional corporate law world to join us on our mission to create a new and better way of delivering legal services. They have specialist expertise in technology law, intellectual property law, contract drafting and review, corporate law and commercial law.
